FAQ Group
Will the name on my translated PCC match my passport spelling exactly?
Yes, and this is the number one reason translations get rejected. Before we finalise your copy, we ask you to share your passport name spelling. The translator then matches it letter for letter on the English version. This stops ICA, MOM and embassies from raising name-mismatch queries on your file.
My police clearance is more than 6 months old. Should I still get it translated now?
We can translate a PCC of any age, but most authorities — ICA, MOM and most embassies — only accept police certificates issued within the last 6 to 12 months. Translation does not refresh that validity window. If yours is too old, please apply for a new PCC first; otherwise you may pay for a translation that the office will not accept.
My PCC has many stamps, seals and signatures I cannot read myself. How will those be handled?
That is exactly the part our translators take care of. Each stamp, seal, official signature and security mark is described in clear English in the right place on the page — for example "[Round red stamp of Beijing Public Security Bureau]". Nothing on the original gets skipped or summarised, so the reviewing officer sees a full picture.
How private is the handling of my police record from start to finish?
Police records are treated as highly sensitive on our side. Files move only between you, the assigned translator and the QC reviewer — all of whom have signed NDAs. Storage is on encrypted servers, and the file is deleted on request once you confirm you have the final copy. Your record is never used as a sample, never shared, and never shown to staff outside the case.
I am submitting my PCC overseas. Is certified enough, or do I also need notary and apostille?
It depends fully on the receiving country. For Singapore-based use, a certified translation is usually enough. For overseas embassies, many also ask for notarisation, and some go further and ask for apostille or SAL legalisation. Tell us the destination country and which office wants the document — we will tell you the exact level you need before you pay anything extra.
If I lose the file on my phone or laptop later, can I get the same copy again?
Yes. We keep your finished translation on record for one year. If you lose the soft copy, just message us and we will resend it the same day. Reprinting a fresh hard copy with original stamp may carry a small handling and courier fee, but the translation file itself is free to resend.
My agent or family member will collect the hard copy on my behalf. Is that allowed?
Yes, you can nominate anyone — an agent, friend, or family member — to pick up the printed copy from our Suntec office. Just send their name and contact details to us in writing through email or WhatsApp. We verify their ID at pickup so your document never leaves with the wrong person.
What if MOM, ICA or the embassy asks for a small change after I submit?
Post-delivery corrections that fall within reason are handled at no extra cost. If the officer asks for a layout tweak, an added note, or a clarification on a stamp wording, just forward their feedback to us. We adjust the file and send a fresh certified copy. You will not be charged again for the same document.
I only have a scanned copy of my PCC by email. Will that work, or do you need the physical original?
A clear digital scan or a sharp phone photo is enough for the translation work itself. Most of our PCC jobs are done this way. The physical original is only needed in rare cases when the receiving authority asks us to verify against it — which is uncommon for translation work. If your case needs that, we will let you know in advance.
My PCC has my photo and fingerprint on it. Will the English copy show them too?
We do not redraw photos or fingerprints — that would change the source record. Instead, we add a clear note in the English copy at the same spot, like "[Photo of holder appears here]" or "[Fingerprint impression on bottom right corner]". This keeps the layout matching and tells the reviewing officer that nothing was hidden or removed from the original record.
